Most document scanners and many all-in-one printers include an Automatic Document Feeder (ADF)

1. Select the ADF as the source in your scan app.
2. Choose Combine into one file (often a PDF) so pages save together.
3. Turn on duplex if your pages are double-sided and the device supports it.
4. Optionally enable OCR to create a searchable PDF.
5. Name your file and pick a destination folder or cloud option.
6. Load your pages as indicated by the icon and start the scan.

If you’re using a flatbed-only device, look for an “Add page” or “Combine” feature to build a multi-page file. Settings and steps vary by model and software.

Match features to your workflow so you’re not over- or under-buying.

• Speed: Look at ppm/ipm ratings to gauge how quickly it processes stacks.
• Duplex handling: Single-pass duplex captures both sides in one feed and can reduce rescans.
• Feeding: An ADF supports batch jobs; check sheet capacity and supported sizes.
• Portability vs. desktop: Portable models save space; desktop models usually handle higher volumes.
• Image & text tools: Auto-crop/deskew and OCR help produce clean, searchable files.
• Connectivity: USB, Wi‑Fi, or Ethernet, plus scan-to-email/cloud/app options for easier sharing.

Review the product specs for these terms to find a comfortable fit for your workload.

Look for all‑in‑one printers that include an Automatic Document Feeder (ADF). An ADF pulls pages one after another so you don’t lift the lid for every sheet.

• ADF presence: Confirm it’s listed in the specs; flatbed-only models handle single pages.
• Duplex scanning: Some ADFs support double‑sided capture to save time.
• Throughput: Scan speeds are often listed in ipm (images per minute).
• Workflows: Many models offer scan‑to PC, email, or cloud from a control panel or app.

Filter by ADF and duplex features and compare capacities to match your typical stack size and document types.

Costs can vary based on equipment, time, and workflow. A simple framework helps you plan.

• In‑house scanning: Factor in scanner purchase, setup, and labor time (prep, scanning, naming, quality checks). Features like an ADF, duplex, and OCR may reduce touch time.
• Document prep: Removing staples, sorting sizes, and fixing bent corners adds time.
• Digital storage: Consider storage, backup, and file management.
• Outsourcing: Providers may charge per page and for prep or special handling; policies differ.

A practical approach is to time a small test batch (e.g., 100 pages), then extrapolate. This can give a clearer estimate without relying on preset rates.

A few quick habits can help feeds run more smoothly, especially with an ADF.

• Prep pages: Remove staples/clips, peel off sticky notes, and smooth folds.
• Align and size: Jog the stack so edges are even; avoid mixing tiny and large pages in one run when possible.
• Use guides: Adjust side guides snugly to the paper, not overly tight.
• Respect capacity: Don’t exceed the ADF’s sheet limit or the recommended paper weight.
• Clean rollers: Power off and wipe feed rollers with a lint‑free cloth as recommended.
• Start small: Test a smaller batch to confirm settings before larger stacks.

These steps can reduce misfeeds, though results may vary by paper condition and device.
